We take your data security seriously

The purpose of this policy is to set out the RLC Words commitment and procedures for protecting personal data. As of 25 May 2018, the laws regarding data protection changed, with the introduction of the General Data Protection Regulation (or GDPR). At RLC Words we remain committed to protecting the privacy of your information, and to be as open and as transparent as possible.

Why we need your data

If you order an RLC Words product, or have a query about our services, we need to know who you are and how to contact you.

How we collect data from you

We collect data from you when you order a product online, or fill in a Contact form, where you put in your email address, name, and phone number.

Analytics

Like many websites we use Google Analytics to collect anonymous data about the users of our sites, such as how often they visit, what pages they visit, what time they visit, how long they stay, and what country they are visiting from.

This data is collected using cookies and from your IP address, and the resulting statistics are used for the following purposes:

– Improving website usability
– Tracking the success of marketing campaigns
– Pattern analysis
– You can prevent Google Analytics from collecting this information by installing the google opt-out browser addon: https://tools.google.com/dlpage/gaoptout

We also monitor customer browsing habits through a WordPress-developed capability called Jetpack. This will retain analytics about website use on the WordPress servers.

Where and how your data will be used

Your data will only ever be used for the following internal uses:

  • To contact your directly (either by phone, SMS or email) in relation your order
  • If you’ve opted into marketing communications: to contact you with regards to upcoming news, offers, and competitions.
    (Please note: we don’t sell data and will never share data with third parties without first obtaining your consent.)

Who has access to your data?

There are three parties who deal with / have access to this information.

  • RLC Words – Rebecca Chamberlain
  • Paypal (a secure online payment system)
  • Stripe (a secure online credit card payment system)

Where and how your data is stored

When you contact us via a form on our website:

  • All data we collect is done so over encrypted connections (https).
  • All data is stored behind state of the art firewalls, managed by our host provider’s security team.
  • All systems storing personal data have access logging maintained by the host provider.
  • All systems are subject to regular penetration testing and are monitored for vulnerabilities and attacks by the host provider.

When you pay for your purchase, you are directed towards Paypal, as our preferred online payment system. Paypal will store your details securely on their system (you have access to this information via your own Paypal account).

How we protect your data

We treat all data with the utmost care and take appropriate steps in compliance with data protection regulation to ensure it is kept safe. It is stored within our host provider’s data centre (20i).

  • All data we collect is done so over encrypted connections (https).

  • The hosted data centre conforms ISO 27001 Information Security policy.
  • All systems storing personal data have access logging maintained by the host provider.
  • All systems are subject to regular penetration testing and are monitored for vulnerabilities and attacks by the host provider.

What if there is a data breach?

RLC Words takes every precaution to minimise the possibility of a data breach, but in such an event, we will immediately notify the Information Commissioners Office (ICO) and take steps to minimise the impact, and to ensure that those affected are kept informed.

How long do we keep hold of your information?

We retain your information for the minimum period possible for business/accounting or legal reasons. Once it is no longer required, we will ensure that your information is confidentially destroyed.

Your data will be deleted from all of our systems ASAP (as per your right to be forgotten), and you will not receive any further communications from us.
